3.4 Creating Sales Appointments

This article refers to the process of creating new Sales Test Drive Appointments. Step-by-step instructions are included.


Creating Sales Test Drive Appointments 


Screen 1 - In the Doppler Platform, a new Sales Test Drive Appointment can be created from the Sales Appointments page. Click on the green "New Appointment" button in the bottom righthand corner of the page. Then, based on your permissions, select Test Drive or Second Delivery.


Screen 2 - A popup will display in the middle of your screen. Fill out all fields in each screen of the popup as shown below:


a. Select the Campaign
b. Enter the customer's address



Screen 3 - First step in selecting a vehicle will be to select the Hub you would like to search inventory



a. a. Click on the Drop Down arrow to search all of the Hubs available in the zip code selected
b.b. Select all of the Hubs that you would like to search inventory
c. c. Click "Next" once you have the correct Hubs selected. Click "Clear Selection" to redo your search

Screen 4: Selecting a Vehicle-There are two ways to search for a vehicle: 


Search Option 1: Search by VIN. You can search with full VIN or 6-digit VIN by using the dropdown and clicking on which way you would like to search. Then enter VIN in text box.

Enter VIN (Full OR 6 digit) and click "Next" 



Select a vehicle (do not click in bubble) and click "Next"



Search Option 2: Search by Model



a.a. Search using the "Model" search option
b. b. Enter the Brand of the vehicle. Use the drop down arrow for options. This is a required field.
c.c. Enter the Category of the vehicle. Use the drop down arrow for options. This is a required field.
d.d. Enter the Year of the vehicle. Use the drop down arrow for options. This is a required field.
e. e. Enter the Model of the vehicle. Use the drop down arrow for options. This is a required field.
f. f. Enter the Trim of the vehicle. Use the drop down arrow for options. This is an optional field.
g. g. Click the Previous button to go back to the previous screen 
h.h. Click the Next button to go to the next screen


Select a vehicle (do not click in bubble) and click "Next"



a.a. Verify the details of the inventory search. Use the Edit button to go back and edit any details if necessary
b. b. The ID column displays the vehicle ID. This is an unique identifying number that is automatically assigned to each vehicle
c.c.
d.d. The VIN column displays the VIN for each available vehicle
e.e. The Year column displays the Year for each available vehicle
f.f. The Make column displays the Make of each available vehicle
g.g. The Model column displays the Model for each available vehicle
h.h. The Trim column displays the Trim for each available vehicle
i.i. The Exterior Color column displays the Exterior Color of each available vehicle



Screen 4: If either Search Option yielded no available matches in inventory, you can click "Add Vehicle".

To add a vehicle, enter in the required fields. Check that you have confirmed the vehicle is available. Click "Next"



Screen 5- Select date and time



a.a. Confirm Dealer Name and Vehicle
b. b. Use the calendar to select the Appointment date
c.c. Select the time slot for the Appointment
d.d. Verify the Schedule Details
e.e. Click the Previous button to go back to the previous screen
f.f. Click the Next button to go to the next screen


Screen 6- Customer Details


a.a. Enter the customer's contact information. Customer is required to opt in for Email or SMS or BOTH
b.b. Enter any helpful information for the Drive Agent. This could be Gate Code information or meeting location.
c.c. Enter any helpful information for the Sales Contact.

d.d. If there is an additional Guest or Driver, enter their contact information.  Note if the guest or driver is a minor.

Click "Next" to continue.


Screen 7 - Confirmation 



Click "Confirm" to continue.


3. After confirm, the calendar view returns with a see a message in the top righthand corner of the screen confirming the Appointment was created. The Appointment will also be displayed in the calendar.
